What this policy covers
TerraRidge Technologies LLC (TerraRidge, we, or us) makes FieldDraft. This policy explains how we handle information in the FieldDraft web app at app.terraridgetech.com and the FieldDraft mobile app for iPhone and Android. Our website privacy policy covers terraridgetech.com and website inquiries.
FieldDraft is a business tool. Companies sign up and invite their people. A company's project records (daily logs, photos, files, reports and comments) belong to that company. We store and process them for the company under our agreement with it. If your employer invited you, it controls its own project records, and some requests about them are best sent to your employer.
Photos and project content
- On your phone first. Photos you take with the FieldDraft camera and daily logs you write are saved only on your phone until you upload them. The app shows them as "Saved on this phone, not uploaded yet" with a count.
- After upload. They're stored in your company's project on FieldDraft's servers, run by our hosting providers (see §07).
- Who can see them. People in your company with access to that project can see them. If your company shares a project with a client through a FieldDraft client portal, the people it invites can see the records it chooses to share. FieldDraft content is never public.
- Photo details. You can take a photo with the app's camera or choose one from your photo library. Photos are uploaded with the details stored in the image file (EXIF metadata), which can include where the photo was taken (GPS location), the time, and the camera or phone model. FieldDraft keeps the original file with these details. People in your company who can access the project can open or download the original. So can people your company invites to a client portal, if the company adds that photo to the portal. Photos placed in FieldDraft's PDF and Word reports are resized and saved without this metadata. If you don't want a photo's location kept, turn off location for your phone's camera or remove it from the photo before you upload it.
- Weather. Automatic weather uses the project's saved city, not your phone's location. Our server sends that city's map coordinates to the U.S. National Weather Service (api.weather.gov) to get the forecast. No personal information goes to the Weather Service.
- Files you upload. Photos, PDFs and documents you upload from the app or a computer are stored as uploaded and can contain their own details, such as location or camera data. Check a file before uploading it, and only upload information you're allowed to share with your company.
Information stored on your phone
- Drafts and photos waiting to upload stay on your phone until they upload.
- Deleting the app removes its stored data from the phone. Anything not yet uploaded is lost.
AI features
FieldDraft uses AI to help sort uploaded files, read documents, suggest project updates, write briefings and help draft safety plans. When one of these features runs, the relevant files (including images and PDFs) and project records are sent to OpenAI through its API.
- We use OpenAI's API and send these requests with storage turned off. Under OpenAI's API terms, data sent through the API is not used to train OpenAI's models by default. OpenAI keeps API data under its standard API data retention terms, which currently allow it to keep request logs for up to 30 days to monitor abuse. Files sent for AI processing can include a photo's location and camera details (see §03).
- AI suggestions are shown for people to review. FieldDraft keeps the original files.
- The FieldDraft mobile app doesn't call any AI service itself.
FieldDraft uses AI to read drawings, specifications, and field records, and AI can miss or misread details. See AI-Generated Output in our terms.
How we use information
We use information to provide FieldDraft: signing you in, saving and syncing your work, showing records to the right people, producing reports, running the AI features you use, sending account emails (invitations, email confirmations and password resets), supporting you, keeping the service secure, preventing abuse, and billing companies. We don't use it for advertising, and we don't sell personal information or share it for targeted advertising.
Service providers and disclosures
These providers process information for us to run FieldDraft:
- Hosting providers: FieldDraft is hosted with trusted cloud providers (currently Supabase and Cloudflare), which host the FieldDraft web app, its database and file storage, and deliver and protect app.terraridgetech.com.
- Supabase: sign-in, passwords and sessions, and sending FieldDraft account emails (invitations, email confirmations and password resets).
- OpenAI: AI processing (see §05).
- Stripe: company subscriptions and payments (web only). Stripe keeps payment and invoice records as required for tax and accounting; card details are removed when the company's billing account is deleted.
- Resend: delivers FieldDraft emails. It keeps email logs for about 30 days, plus up to 7 days in its backups.
- U.S. National Weather Service: forecasts for a project's city (no personal information).
- Apple and Google: app distribution through the App Store and Google Play, under their own privacy terms.
We may also disclose information when required by law, to respond to valid legal requests, to protect people, our service or others from fraud or abuse, with your company's or your authorization, or as part of a merger or sale of our business, subject to this policy.
Permissions, tracking and notifications
- Camera and photos: FieldDraft asks for camera access to take site photos, and photo-library access so you can choose photos to attach or save a photo you choose to keep. It uses them only for attaching photos to your project records. You can turn either off in your phone's settings; you can still write logs without photos.
- No location, microphone or contacts permissions. FieldDraft does not ask for them, and it doesn't collect your phone's location in the background or continuously.
- No analytics, crash-reporting or advertising tools are built into the mobile app, and it doesn't track you across other apps or websites.
- Notifications: FieldDraft does not send push notifications today. If we add them, we'll ask your permission first and update this policy.
Retention and security
- Project records, including photos and their metadata, are kept while your company's account is open. The company decides what to keep or delete.
- A deleted project can be restored by the company for 14 days and is permanently deleted after 30 days.
- If a company cancels, its Owners and Admins can download its records for 30 days after service ends. After that download period, the company's records are deleted within 30 days.
- If you ask us to delete your account, we complete the request within 30 days of confirming it (see §10).
- Backups and service logs expire within 30 days on a rolling schedule, so deleted information disappears from them within 30 days. Backups are used only to restore the service after a mistake or outage. We never use a backup to restore an account or company that was deleted. Our email provider, Resend, keeps logs of the emails it sends for about 30 days, plus up to 7 days in its own backups.
- Information travels over HTTPS. The mobile app connects only to app.terraridgetech.com. No system is perfectly secure, but we work to protect your information.
Deleting your account
You can ask us to delete your FieldDraft account at any time. Instructions are at terraridgetech.com/delete-account/.
- How: email Robert.Holmes@terraridgetech.com from the email address on your account, with the subject "Delete my FieldDraft account". We may ask you to confirm the request.
- Timing: we complete requests within 30 days and email you when it's done.
- Deleted: your sign-in account (email address, password, name and profile details), your company and project memberships, your sessions and pending invitations to your email address.
- Kept with your company: daily logs, photos, files, comments and reports in your company's projects stay with the company, because they're its business records. Your name stays on records you signed or approved. Ask your company if you want its records about you changed or removed.
- If you're your company's only Owner: we'll contact you before closing anything, so the company can name a new Owner or close its workspace. A closing company's Owners and Admins can download its records for 30 days.
- Your phone: signing out or deleting the app removes FieldDraft's data from that phone. Deleting the app does not delete your FieldDraft account.
- Subscriptions: deleting your account is separate from canceling your company's subscription. Tell us if you need both.
- Copies others hold: reports or files that someone has already downloaded, exported or shared are outside FieldDraft and aren't covered by the deletion.
- Backups: Backups and service logs expire within 30 days on a rolling schedule, so deleted information disappears from them within 30 days. Backups are used only to restore the service after a mistake or outage. We never use a backup to restore an account or company that was deleted.
Your choices, rights, locations and children

Depending on where you live, you may have more rights, such as objecting to or restricting processing or appealing our decision. You can also contact your local privacy regulator.
